Brief and Objectives.
After a successful collaboration for previous summit events, A10 Networks turned to us (again!) for full-service support for their latest EMEA summit. The goal was clear: bring together A10 partners and customers to reconnect, share insights, and strengthen the partner network, and align the event with business strategy and highlighting innovation, while making this year bigger and better than previous years.
The challenge went beyond organising a meeting. We were tasked with finding a fresh, accessible European destination with facilities that matched the brand, accommodated the demographic and content requirements, and offered opportunities for engaging, memorable experiences. From curating immersive activities to managing every detail from planning through to onsite execution, A10 trusted us to deliver a seamless summit experience.
Our Expertise in Action.
From the outset, our team provided end-to-end support. We partnered with a trusted DMC for venue sourcing, ensuring the location met both practical needs and experiential ambitions. Branding, creative design, AV production, logistics, and delegate coordination were all handled with meticulous attention to detail. A dedicated event app kept attendees connected and informed, while our project and onsite management ensured every element ran smoothly.
Special focus was placed on creating moments that would resonate. Guests sailed on a catamaran trip exploring caves along the coast, enjoyed a clifftop welcome reception with stunning views, and experienced an immersive gala dinner complete with a branded musical fountain, turning the summit into an unforgettable blend of business and experience.
Challenges and Solutions.
The guest list unexpectedly grew—from 80 to 121 attendees—without an increase in budget. Through careful planning, supplier negotiation, and creative solutions, we delivered a high-quality, unforgettable event while staying within budget.
Finding the perfect destination had been a priority from the start. For the third year running, A10 wanted a central, warm, modern location with plenty of space and activities. This year, we chose the 5-star W Hotel in Albufeira, Portugal, which opened in 2022. Its luxurious accommodations, versatile event spaces, and breathtaking surroundings provided a premium, memorable backdrop. The location also offered excellent access from major EMEA hubs while remaining cost-effective.
Day 2 of the event almost saw our gala dinner moved indoors due to rain threatening the outdoor setup. But the forecast promised sunshine, and we held our ground. Once the skies cleared, the team sprang into action, working alongside the hotel crew to complete the outdoor setup without missing a beat or delaying the start time. Patio heaters were added as the evening cooled, ensuring a comfortable, inviting atmosphere for our guests.
From weather challenges to last-minute logistics, the team demonstrated that adaptability, collaboration, and foresight can turn potential obstacles into moments of triumph!
